Frequently Asked Questions about functions and problems:
Does the program work without an internet connection?
Yes. The program operates entirely without an internet connection. Client data and clinical records are stored in a local database on the user’s device, and the program does not rely on sending this data to external servers to operate.
What happens if I install a new version of Windows? Will this affect my license activation?
If the PSY-Record database file is stored on a drive or in a location separate from the Windows system files, reinstalling Windows will not delete the database stored in that location.
Your license activation will continue to work normally after reinstalling Windows. However, it is recommended that you keep your license activation information before reinstalling the operating system.
How can I protect my data?
To help protect your data, it is recommended that you regularly back up the PSY-Record Database file and keep a backup copy in a location separate from your computer, such as a dedicated external storage device.
It is also recommended that you secure your computer with a password or an available authentication method, such as fingerprint recognition, to help prevent unauthorized access to the device and the data stored on it.
How do I create a backup?
The program automatically creates backups of the PSY-Record Database file on the user’s device on a weekly basis, according to its built-in backup mechanism, provided that the program is running and has access to the database.
It is recommended that you copy the backup files and store them in a separate location, such as an external storage device. You may also keep multiple backup copies for additional protection.
Can I transfer my PSY-Record Database file to more than one computer and use it normally?
Yes. You can transfer a copy of the PSY-Record Database file to another computer and access it through the program installed on that computer.
The program must be properly installed and configured on each computer, and the license must be activated according to the applicable licensing terms for each device.
It is recommended that you avoid using multiple copies of the database simultaneously if doing so could result in differences between the copies. One database copy should be designated as the primary database.
What is the maximum number of records I can store in the PSY-Record Database?
Data is stored in the PSY-Record Database.accdb file, which uses the Microsoft Access database format.
Microsoft Access does not specify a single fixed maximum number of records that can be stored in a database. The practical limit depends on the database design, table structure, and the amount of data stored in each record.
According to Microsoft Access specifications, the maximum size of an Access database in .accdb format is 2 GB, excluding the space required for system objects. The maximum size of a table is also 2 GB, while the maximum record size is approximately 4,000 bytes, subject to Microsoft’s specified limitations. Long Text and OLE Object fields are excluded from the record-size calculation described by Microsoft.
How can I check whether Microsoft Access is 32-bit or 64-bit? And how can I check my Windows system architecture?
Checking the Microsoft Access architecture
You can check whether Microsoft Access is 32-bit or 64-bit directly from within Access:
Open Microsoft Access.
Select File.
Select Account.
Select About Access.
A window will display your Access version information, including whether it is 32-bit or 64-bit.
Checking the Windows system architecture
In Windows 10 and Windows 11:
Open Settings.
Select System.
Select About.
Under Device specifications, look for System type.
You will see whether your Windows installation is 32-bit or 64-bit.
